For FOPs

Amount written out. What if clients paid on your website themselves?

Invoices, acceptance certificates and amounts in words take hours every month. A website with online card payments (LiqPay or monobank) takes orders and money without you. We are a group 3 FOP ourselves, so we know how long paperwork takes.

How to write an amount in words correctly

Invoices, acceptance certificates, contracts and powers of attorney give the amount twice: in figures and in words. Words protect against alterations: it is easy to add a zero to “1,500”, but not to “one thousand five hundred hryvnias”. So if the figures and the words in a document differ, the amount in words usually prevails.

The most common format for the hryvnia (UAH) is UAH 1,500.00 (one thousand five hundred hryvnias and 00 kopiykas). Hryvnias are written in words, and kopiykas (hundredths of a hryvnia) in figures. This is how payment instructions are filled in and how most accounting software does it.

Rules people most often get wrong

  • Gender of numbers. In Ukrainian, “one” and “two” change with the gender of the noun. Hryvnia, kopiyka and thousand are feminine, so “one hryvnia”, “two thousand” and “twenty-one kopiykas” take the feminine “odna” or “dvi”. Dollar, euro and cent are masculine, so “one dollar” and “two euros” take “odyn” and “dva”.
  • Word form after the number. Ukrainian has three forms: “hryvnia” after 1, “hryvni” after 2–4 and “hryven” after 5–20. Numbers 11–14 always take “hryven”: 11 hryven, 112 hryven.
  • Apostrophe. The Ukrainian words for five, nine and five hundred (п’ять, дев’ять, п’ятсот) are spelled with an apostrophe. The tool uses the typographic ’, which displays correctly in Word and PDF.
  • Zero kopiykas. Write “00 kopiykas” rather than leaving them out: this shows that the amount is round and the kopiykas were not lost.

VAT in the amount in words

A VAT payer shows the tax separately: “including VAT 20% — UAH 250.00 (two hundred fifty hryvnias and 00 kopiykas)”. The tool calculates VAT in two ways: it extracts the tax from the amount (amount × 20 / 120) or adds it on top and shows the amount before VAT, the tax and the total. Rates: 20%, 14% and 7%.

A FOP (Ukrainian sole proprietor) in groups 1–3 of the single tax, Ukraine’s simplified tax system, who is not registered for VAT writes “without VAT”. Choose this option and the phrase is added automatically.

Currency and language

For an invoice to a foreign client, switch the language to English: “One thousand five hundred US dollars and 00 cents”. The tool also writes amounts in Ukrainian and Russian. Documents in Ukraine are drawn up in the state language, Ukrainian, so choose Ukrainian for them; you are only likely to need Russian for a counterparty abroad.

Need a complete document? The invoice, acceptance certificate and delivery note generator fills in the amount in words itself and adds a payment QR code. You can also make a standalone QR code to the National Bank of Ukraine standard for any amount, right from this page.

FAQ

How do I write the amount in words on an invoice?
In figures, then in words in brackets: “UAH 1,500.00 (one thousand five hundred hryvnias and 00 kopiykas)”. Hryvnias are written in words, kopiykas in figures. In brackets, the words start with a lowercase letter; if the amount in words stands on its own line (“Total due: …”), it starts with a capital.
Are kopiykas written in figures or in words?
Usually in figures: “12 kopiykas”, “05 kopiykas”. Kopiykas are written in words when a contract or a notarial document requires it. The tool can do both, and for a round amount you can drop the kopiykas altogether.
How do you write 2 or 21 hryvnias in words?
In English: “two hryvnias”, “twenty-one hryvnias”, “twenty-two hryvnias”, “twenty-five hryvnias”. Ukrainian is harder: 21 takes the singular with a feminine “one”, 2 and 22 take one plural form, 25 another, and 11–14 always take the same form as 25. The tool has been tested automatically on hundreds of thousands of amounts and sets the gender and word form itself.
How do I work out VAT that is already included in the amount?
Multiply the amount by 20 and divide by 120; this is for the 20% rate. For UAH 1,200, the VAT is UAH 200. Choose “Including VAT”, and the tool calculates the tax and writes it in words on a separate line.
What should a FOP who is not a VAT payer write?
The phrase “without VAT” after the amount. This is what FOPs in groups 1–3 who are not registered as VAT payers do. Choose this option and the phrase is added to the amount in figures and in words.
Which language should the amount be in on documents?
For documents in Ukraine, Ukrainian. English is for an invoice to a foreign client. The currency can be any of these: hryvnias, dollars, euros, pounds or zlotys.
Can I convert a plain number to words, with no currency?
Yes, choose “No currency”. In Ukrainian, a whole number takes the masculine form (21 ends in “odyn”), and a decimal is written in tenths or hundredths: 12.5 is literally “twelve whole, five tenths”. In English, it is “twelve point five”.
